We are looking to add a Client Service Specialist to join our Charlesworth team in Kansas City, MO or Dallas, TX. Candidates thrive in our environment when they harness their collaborative mindset, strong interpersonal communication skills, and a love of learning.

The Client Service Specialist I will provide comprehensive administrative support, deliver exceptional client service, and assist in the management of claims, including subrogation claims. The ideal candidate will be detail-oriented, possess strong communication skills, and have the ability to multitask in a fast-paced environment.

Responsibilities:

  • Communicates daily with internal team members to ensure proper administration of accounts and follows up on outstanding issues in a timely manner.
  • Maintains positive working relationships and communications well with co-workers, clients and third parties.
  • Establishes and manages timelines that clearly identify all tasks, task durations and team resources responsible for completing the tasks and milestones needed to complete assigned projects.
  • Format marketing materials, including monthly newsletter and maintain social media accounts.
  • Coordinate calendars, emails and overall communication.
  • Arrange travel, speaking engagements, sponsorships and other business development opportunities.
  • Maintain client records and oversee document management.
  • Invoice clients for services rendered and oversee and manage accounts receivables.
  • Additional tasks and projects as needed or assigned.

Client Services:

  • Drafts Requests for Proposals (RFPs) for review by appropriate Consultant, makes requested edits to RFPs, distributes RFPs to insurance carrier market, ensures timely response by insurance carrier and summarizes insurance carrier proposals for review by appropriate Consultant.
  • Assists in the preparation of marketing and renewal applications, including gathering needed information.
  • Assists with preparation/creation of materials for presentations, utilizing software such as Excel, PowerPoint and Word.
  • Drafts and formats monthly client reports in a specified format.

Claim and Subrogation Services:

Claims

  • Review incident and/or police reports to confirm coverage for commercial auto and commercial general liability claims.
  • Work directly with clients to gather information for responding to allegations and questions posed by the claimants, third-party administrators, or insurers.
  • Provide claim details to client and seek their liability determination.
  • Monitor the progress of claims and provide updates to clients to include setting reserves, assisting in claim settlement and denials as set forth in a client claims handling procedures.

Subrogation

  • Review incident and/or police reports to identify potential subrogation recoveries
  • Communicate with client to gather additional information
  • Prepare and submit subrogation claims to responsible parties or insurers.
  • Follow up on subrogation claims to ensure timely resolution and recovery of funds.
  • Maintain accurate records of subrogation activities and outcomes.

Knowledge, Skills, and Abilities:

  • Good communication skills and the ability to apply these skills in either verbal or written form when interacting with various internal staff, external partners, and employees, claimants, and clients.
  • Knowledge of workers compensation coverage and claims process and the ability to apply that knowledge in the performance of the job duties preferred, but not required.
  • Knowledge of liability coverages and claims process and the ability to apply that knowledge in the performance of the job duties preferred but not required.
  • Knowledge of or experience in the insurance industry and the ability to apply that knowledge in the performance of the job duties preferred, but not required.
  • Ability to maintain state-specific property / liability insurance agent’s license or obtain within three months of hire.
  • Bilingual in Spanish a plus, meaning the ability to understand and to converse to all Spanish speaking individuals.
  • Expected to be extremely responsible and dependable in attendance.
  • Ability to travel locally and meet with clients to provide information/materials or to assist with employee meetings, as necessary.
  • Ability to operate a computer and strong working knowledge of various software packages such as, PowerPoint, Outlook, Word, Excel, Teams, and Zoom.
  • Knowledge of organizational methods and the ability to manage multiple tasks/duties simultaneously.
  • Ability and willingness to consistently participate in internal and external educational opportunities to enhance knowledge of current insurance topics or relevant system improvements.
  • Must be knowledgeable of and comply with HMA’s Client Privacy Policy, HIPAA regulations and E&O procedures and policies.

Qualifications:

  • Education: High school diploma required; college degree preferred.
  • Experience:Minimum 2+ years’ experience in claims, customer service, legal or administrative/clerical work experience in an office environment.  Experience in pubic entities or the insurance or legal industry a plus.
