We are looking to add an Executive Administrative Assistant to join our Property and Casualty team in Minneapolis. Candidates thrive in our environment when they harness their collaborative mindset, strong interpersonal communication skills, and a love of learning.

The purpose of this position is to provide support to the Holmes Murphy Leadership team, as well as assist other employees with various related requests in support of the business. 

Responsibilities:

  • Provide administrative support (mindful of confidential issues) for office Sr. leadership including expense management, schedules and maintains calendars, coordinates travel arrangements and organizes and coordinates meetings.
  • Answer questions from all levels of the organizations with precision, accuracy and with a sense of urgency.
  • Advise and provide input and guidance to the strategic use of the executive’s time.
  • Provide guidance to leaders on important initiatives and projects, coordinating resources as needed to ensure completion.
  • Communicate and cooperate with all levels of employees and external contacts in a way that represents the company in a positive and professional manner.
  • Prioritize conflicting needs; handles matters quickly, proactively and follows through on projects to successful completion, often with deadline pressures.
  • Organize, coordinate, or assist with programs such as scheduling meetings, to include preparing program materials, directing room set-up/clean-up, ensuring proper equipment is available, etc.
  • Work with C- Suite Leaders to ensure meetings are well-planned and effective. Organize the distribution of information to ensure activation on key initiatives.
  • Communicate and cooperate with all levels of employees and external contacts in a way that represents the company in a positive and professional manner.
  • May provide back-up assistance to the Office Admin. as needed.
  • Perform special projects and other duties as requested.

Knowledge, Skills and Abilities:

  • Strong organizational skills and the ability to manage multiple tasks and projects simultaneously such as meetings, coordinating events, maintaining projects, etc.
  • Ability to be confident in decision making and problem solving.
  • Ability to understand and work in a dynamic environment.
  • Ability to effectively interface with all levels of personnel and external contacts.
  • Ability to operate a personal computer and strong windows application knowledge in utilizing various software packages such as Word, Excel, PowerPoint and Outlook.
  • Strong detail orientation.
  • Strong written and oral communication skills.
  • Maintain a strong professional demeanor as well as enthusiasm in representing agency goals and objectives.
  • Manage and maintain confidential information at all times.
  • Must be knowledgeable of and comply with HMA’s Client Privacy Policy, HIPAA regulations and E&O procedures and policies.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

General Working Conditions:

  • General office conditions exist. Involves extended periods of sitting, working on computer terminal and performing data entry duties. Desk located in workstation area with little or no privacy. Constant flow of interruptions by other Agency personnel and telephone calls.
  • This role is primarily office based with occasional flexibility for remote work.

Qualifications:

  • Education: High school diploma; college degree preferred.
  • Experience:A minimum of 5+ years in executive administration or a role that provides administrative/strategic support at a senior executive level
